Privacy Policy
Last updated: 5 May 2026
This Privacy Policy explains how OutreachBoard ("we", "us", or "our") collects, uses, and protects your personal information when you use our services, including the OutreachBoard website (https://outreachboard.com), the directory, the submission form, and — once released — the OutreachBoard plugin and marketplace.
1. Information We Collect
We may collect the following information:
- Account data: name, email address, login credentials
- Submission data: full name, email, the Google Sheet URL you share with us, and the website information contained in that sheet (domain, category, country, pricing, contact details, traffic figures, and similar metadata)
- Link request data: any contact details and message content you provide through the "Request a Link" form
- Content data (planned plugin): article drafts, titles, checklists, and metadata synced via the plugin
- Site data (planned plugin): WordPress site ID and synced post information
- Usage data: device, browser, IP address, and actions taken on the platform
2. How We Use Your Information
We use your data to:
- Provide and maintain the platform, directory, and (once released) plugin and marketplace
- Authenticate your access to the system
- Process website submissions, run safety and quality checks, and publish approved listings to the directory
- Forward link requests to the relevant publisher
- Communicate with you about your submissions, listings, or account
- Improve service reliability and user experience
3. Directory Listings
The directory is a public catalog. Information you submit about a website — including domain, category, country, pricing, traffic figures, and any publisher-facing contact details you provide — will be visible to anyone visiting OutreachBoard. Do not include personal information in listing fields that you would not want to be public. The submitter's name and email are not displayed on listings; they are kept internally for verification, communication, and abuse prevention.
4. Website Submissions
When you submit websites through our form, we receive your name, email, and the Google Sheet URL you share. To process your submission, you make the sheet readable via "Anyone with the link" (Viewer access). We read the sheet only to import the website data you've listed and run automated safety and quality checks. We do not modify your sheet, and we do not access other files in your Google Drive. Submission records, including your contact details and the source sheet URL, are retained for fraud prevention and audit purposes.
5. Plugin-Specific Behavior (Planned)
Once released, the OutreachBoard WordPress plugin will:
- Authenticate users via secure token exchange
- Retrieve data from your OutreachBoard account (content drafts, user info)
- Not give guest authors access to your WordPress site
- Not publish any content automatically
- Not transmit WordPress user credentials to OutreachBoard servers
Plugin behavior, scopes, and data flows may change before launch, and this Policy will be updated accordingly.
6. Marketplace Privacy (Planned / Beta)
If and when the marketplace launches, additional data may be processed to facilitate negotiations and transactions between users (for example, message content, transaction metadata, and payment processor data). Marketplace-related privacy practices may be released in beta and may change before general availability.
7. Sharing and Disclosure
We do not sell or share your personal information with third parties except:
- As required by law or to respond to valid legal requests
- To provide essential infrastructure services (e.g., Vercel for hosting, Supabase for database, Google APIs for sheet access)
- With your explicit consent
8. Security
We implement industry-standard encryption and access controls to protect your information. All communication between your browser, our API, and (once released) the plugin is secured via HTTPS.
9. Data Retention
We retain account data for as long as your account is active, or as required by law. Submission records and directory listings may be retained after account closure where needed for fraud prevention, dispute resolution, or to maintain the integrity of the public directory. You may request deletion of your account and personal data at any time, subject to these limitations.
10. Your Rights
Depending on your location, you may have rights under data protection laws (e.g., GDPR or CCPA) to:
- Access your data
- Correct your data
- Delete your data
- Object to certain data uses
To exercise your rights, contact privacy@outreachboard.com.
11. Children's Privacy
Our service is not intended for children under the age of 13. We do not knowingly collect data from children.
12. Changes to This Policy
We may update this Privacy Policy. If we make material changes, we will notify users on our website. Continued use of the Service after changes implies acceptance.
